Vendor Setup: 2 Hours Prior to Event start

• Thursday: 4:00 PM – 8:00 PM
• Friday: 12:00 PM – 6:00 PM
  • Will be open till 9:00 PM
    • Vendors welcome to stay till closing
• Saturday: 10:00 AM – 5:00 PM
• Sunday: 10:00 AM – 5:00 PM

Reservation & Payment Policy

Submission of a booth reservation request does not guarantee booth availability, booth placement, or vendor approval.

At checkout, a temporary authorization hold may be placed on the payment method provided. This authorization is not a completed charge and reserves funds while your application is reviewed.

If your application is approved, King Fandom will capture the authorized payment and send a confirmation email. If your application is not approved, the authorization will be canceled and the hold will be released by your financial institution. The time required for the hold to be removed varies by bank or card issuer.

Vendors reserving all four event days receive priority consideration for booth placement. Priority placement does not guarantee a specific booth location, booth approval, or booth assignment and remains subject to availability and King Fandom's sole discretion.

Requested booth locations are subject to availability and may be reassigned at King Fandom's discretion.

Booth reservations become final only after vendor approval and successful payment capture.

If payment cannot be captured or is declined after approval, King Fandom reserves the right to cancel the reservation and offer the booth space to another vendor.

All cancellations are subject to a 50% cancellation fee. Reservations canceled within 48 hours of the event start time are non-refundable and non-transferable.

Vendor Requirements

• Vendors are responsible for cleaning their booth area upon departure.
• Setup must be completed no later than 10 minutes prior to the start of the event.
• Setup activities will not be permitted once the event begins.
• Only up to 2 sellers are permitted behind the tables or booths.
• King Fandom reserves the right to refuse or remove vendors whose products, conduct, or displays are deemed inappropriate for the event.

Photography & Media Release

By submitting a booth reservation request and participating in the event, vendors and their representatives grant King Fandom permission to photograph, record, and capture video and audio of their booth, products, displays, likeness, and participation during the event.

Vendors acknowledge and agree that these photos, videos, and recordings may be used by King Fandom for promotional, advertising, marketing, social media, website content, and other business purposes without compensation, further approval, or additional notice.

Vendors waive any rights to inspect or approve the finished materials and release King Fandom from any claims related to the use of such media.

If a vendor has concerns regarding specific products or individuals being photographed, they must notify King Fandom in writing prior to the event; however, King Fandom cannot guarantee exclusion from incidental or crowd photography and videography.
